Reproduction Policy

All copy requests are considered on a case-by-case basis based on size, condition, and copyright restrictions.

Digital Camera Policy

All photographs taken are for private study, research, or classroom teaching purposes only and cannot be reproduced, posted on the Internet, or published without permission from the Archives. The use of digital cameras in the Archives is subject to the following conditions:

  • No tripods, flash, or special lighting.
  • Materials must be handled properly and with great care. Make sure to use the following guidelines:
    • Bound volumes must be supported in a book cradle so no pressure is applied to the bindings.
    • Loose manuscript material must remain flat on the table inside its folder and kept in order at all times. If leaves are fastened together, ask an archivist for assistance before proceeding.
  • No more than 50 pages or 20% (whatever is smaller) of any collection or book can be photographed without permission.
  • It is the responsibility of each user to record accurate citations for all photographed items.
  • The Archives & Special Collections reserves the right to deny requests or revoke permission for any reason.

Terms of Use: Copyright

When requested, libraries and archives can provide a photocopy or other form of reproduction for items located within their collections as authorized by the copyright law of the United States (Title 17, United States Code). Such reproductions may only be used for the purpose of private study, scholarship, or research, i.e., "fair use."

If the recipient later uses a reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. In addition, these reproductions may not be made for, or donated to, other repositories or further reproduced without written permission from the TJU Archives and Special Collections.

Any images located on pages that are part of Jefferson websites may be used for the purpose of private study, scholarship, or research, i.e., "fair use" so long as you provide proper attribution of the source of these copies.

For use of images from the Web site in print publications, broadcast, or commercial products, you must contact the Archives & Special Collections in advance and follow the procedures listed under the "Publication Policy."

While the University is willing to provide any available information about the copyright holder (when known), persons wishing to publish materials must assume all responsibility for identifying and satisfying any claimants of copyright.

Terms of Use: Publication Policy

  • All rights grants are non-exclusive.
  • Permission to reproduce and/or publish, when granted, is for a one-time use of the material in a single production or publication. Later or different use including subsequent editions, reprints, or any other reproduction by photographic or electronic means constitutes reuse. Permission must be separately negotiated for reuse.
  • Photographic or digital images from the Archives & Special Collections may not be reproduced in any cropped, distorted, or altered form.
  • Only original photographic/digital materials supplied by the Archives & Special Collections may be used for reproduction. Use of copied materials is prohibited.
  • Possession of an image does not constitute permission to use or publish the image.
  • All images must have a credit line. See "How to Cite Materials from the Archives and Special Collections."
  • Photographic materials, derivatives, or digital files may not be transferred to any other user.

How to Cite Materials from the Archives & Special Collection

All reproductions must be accompanied by ownership credit as well as the correct citation, including

  • a description of the item;
  • title and accession number of the photograph; or
  • title and MS number for the collection.

If you found the materials on our website, please indicate the appropriate URL containing the item.
